Placing Calls in Assignments


Brief Overview and Eligibility

Certain offices have the ability use this feature. This feature allows users to place calls by clicking on a phone number in the assignment detail and place those calls directly online with WebFMS.

The enabling of certain offices to use this feature is done at database level inside of the OfficeVOIPSettings table. This should only be done when approved by Alacrity by a database admin. An office must also have a phone number assigned to them. This is the phone number all the outbound calls will be made from.

Overview

This feature allows users to place calls directly to the phone numbers listed in the assignment detail. It allows them to place these calls directly on Webfms and it fast tracks the diary entry process along the way.

Inside the assignment detail there are several phone number fields. When a phone number is valid a dark green phone icon will be next to it. This indicates that the you can click on it to place a call to that phone number.

Clicking on one of these call icons will bring up the call feature.


Call Reasons

  • You will first be prompted to describe the reason for the call. If The reason doesn't exist you can click other and describe the reason inside the other field.
  • The call reason you choose will show up in an automatically generated diary entry for the assignment.
  • You must select at least one reason in order to place a call.
  • Since many diary entries will be made about the phone calls: the assignment diary feature now has a way to sort diaries by call history.

Input/Output Audio

You will need a microphone and audio output device plugged in your computer in order to use this feature. To ensure the computer is detecting your microphone press the test audio button on the bottom left corner.

If the microphone appears not to be working, check for the following icon:

This icon means that under your permission settings you're currently not allowing the microphone to be used on this page. Click on the icon and change the settings to allow the microphone to work.


Call Results

When the call ends you're required to pick a call result. Like the call reasons, the result you choose will show up in an automatically generated diary entry for the assignment.

At least one call result is required to complete the section.

Click the submit button to complete the section and to have the diary entry about the call be created.

If you're setting the call result page and the call ended in error: The redial button is on the bottom left corner. By clicking this button you're able to redial with out selecting anther call reason.
